Assistant Accountant (Purchase Ledger)

About the opportunity:

We are seeking an Assistant Accountant for a 12-month fixed-term position to join our Purchase Ledger team in the Finance department at our Stonehouse office.

In this role, you will report to the Purchase Ledger Team Leader and provide essential accounts and administrative support to the Finance Department. Your responsibilities will include processing Applications For Payment (AFPs), entering invoices, handling timesheets, and performing other tasks as assigned by the Team Leader based on your skills and development.

Your responsibilities:

  • Management of the Purchase Ledger to ensure that:

      • Good relationships are maintained with suppliers
      • Only approved invoices are paid
      • Suppliers are paid on time in accordance with agreed terms
      • Processing all purchase invoices to the purchase ledger
  • Ensuring:

    • Purchase ledger invoices are matched to purchase orders
    • Project purchase invoices are posted to the correct project number and cost codes
    • Project invoices are properly approved by the appropriate project manager
    • Reconciliation of supplier statements
  • Communicating with suppliers regarding missing or disputed invoices
  • Preparation of monthly payment run
  • Preparation of BACS payment file
  • Processing of time sheets for craftsmen ensuring that:

      • Time is booked to the correct project code
      • Time is correctly analysed to the correct cost code
  • Management of the Application for Payment system to ensure that

      • Quotes, Variations and Applications for payment are processed promptly and in line with the agreed timeframes given in our contracts with our sub-contractors
  • To support the Team Leader in other matters that arise from time to time

About you

Experience / Qualifications:

  • Previous experience in a project management business

Attributes: 

  • Proficient in Microsoft Word, Excel, Outlook
  • Ability to adapt to a fast changing environment 
  • Desire for achieving strong financial control without constraining the business objectives 
  • Good communication skills
  • Able to demonstrate commercial acumen
